Your documents and personal data are yours. This policy explains what PingYou collects, why, and how we keep it safe.

1. Introduction

PingYou ("PingYou", "we", "us" or "our") is a document and certificate expiry reminder platform built and operated by bycode. This Privacy Policy explains what information we collect when you use our website and applications, how we use it, and the choices you have. By using PingYou you agree to the practices described here.

2. Information We Collect

We collect information you provide directly and information gathered automatically as you use the service:

  • Account details - your name, email address and, if you sign up as an organization, your company name.
  • Documents and reminder data - the files, certificates, expiry dates, reminder schedules and notes you add to your vault.
  • Contact details for reminders - the email addresses, phone numbers (for WhatsApp) and devices you choose to send reminders to.
  • Usage and device data - log data, IP address, browser type and interactions, collected automatically to keep the service secure and reliable.
  • Cookies and similar technologies - used to keep you signed in and remember your preferences (see our Cookies Policy).

3. How We Use Your Information

We use your information to deliver and improve PingYou, including to:

  • Store your documents and send you expiry reminders by Email, WhatsApp and Push.
  • Provide, maintain, secure and improve the service and develop new features.
  • Communicate with you about your account, updates and support requests.
  • Detect, prevent and respond to fraud, abuse and security incidents.

4. Information Sharing and Disclosure

We do not sell your personal information. We share it only with trusted service providers that help us operate PingYou (such as hosting, email, WhatsApp and push-notification providers), when required by law, or in connection with a business transfer. These providers are bound to use your data only to provide services to us.

5. Data Security

Documents are stored in an encrypted vault, and we apply administrative, technical and organizational measures designed to protect your data against unauthorized access, loss or misuse. No method of transmission or storage is completely secure, but we work continuously to protect your information. See our Security page for more detail.

6. Your Rights and Choices

Depending on your location, you may have the right to access, correct, export or delete your personal information, and to object to or restrict certain processing. You can manage most data directly in the app, or contact us to exercise these rights.

7. Data Retention

We keep your information for as long as your account is active or as needed to provide the service, comply with our legal obligations, resolve disputes and enforce our agreements. When information is no longer needed, we delete or anonymize it.

8. International Data Transfers

PingYou is operated from India by bycode. Where your information is transferred across borders, we take steps to ensure it receives an appropriate level of protection consistent with applicable law.

9. Children's Privacy

PingYou is not intended for individuals under the age of 18, and we do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will remove it.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, notify you by email or within the app. Your continued use of PingYou after changes take effect constitutes acceptance of the updated policy.
